About this Privacy Policy

District Charters ("District Charters", "we", "us", or "our") respects your privacy. This Privacy Policy explains what information we collect when you request a quote, book charter transportation, or use any District Charters service, how we use that information, who we share it with, and the choices you have. We have tried to write it in plain English instead of legalese.

Quick summary: When you ask us for a quote, we use your trip details to prepare pricing and, where you consent, to coordinate with transportation partners who can fulfill your trip. You decide whether to share your contact info with partners by ticking a consent box at submission. We do not sell your data to ad networks, social platforms, or unrelated marketers. We do not call or text you for marketing without explicit consent.

1. Who We Are

District Charters operates charter transportation services at districtcharters.com. We provide group transportation — charter buses, minibuses, coaches, and related services — primarily across the Washington DC metro corridor (District of Columbia, Maryland, and Northern Virginia), serving federal agencies, embassies, corporate groups, conferences, weddings, and similar events. We may work with vetted licensed transportation partners when needed to fulfill a trip.

2. Information We Collect

2.1 Information you provide directly

• Contact info — name, email address, mobile phone
• Trip details — pickup and drop-off addresses, event date and time, passenger count, vehicle type preference, special requests, itinerary notes
• Booking and payment info — when you confirm a trip, billing details (cardholder name, billing zip). Card numbers themselves are sent directly to our payment processor and tokenized; we do not store full card numbers on our servers.
• Communications — emails, SMS messages, and call recordings if you opt in to call recording for quality assurance

2.2 Information collected automatically

• Device and usage data — IP address, browser type, device type, pages visited, referring URL, timestamps
• Cookies and similar tech — see Section 8 below
• Approximate location — derived from your IP address or pickup address you enter, used to match you with service in your area

2.3 Information from third parties

• Geocoding services — when you enter a pickup or drop-off address, we look it up via mapping providers to validate it and calculate distance/duration
• Payment processor — returns transaction status and a tokenized card reference, never the full card number

3. How We Use Your Information

• To prepare and deliver transportation quotes for your trip
• To dispatch your trip request to one or more vetted partner operators in your service area (only when you have consented to share — see Section 4)
• To send you transactional emails and SMS related to your quote, booking, payment, and trip (confirmations, driver info, reminders, change notifications)
• To process payment and issue refunds where applicable
• To prevent fraud, abuse, and unauthorized access
• To comply with applicable law and respond to lawful requests from authorities
• To improve our service — anonymized usage analytics, conversion measurement, page-load performance

We do not use your trip details or contact info for advertising on third-party platforms, profile-building, behavioral retargeting, or sale to data brokers unrelated to transportation.

4. Who We Share With

4.1 With transportation partners

When you submit a quote request and consent to sharing, we may share your trip details with vetted partner operators who serve your pickup area so they can prepare a quote. You consent by ticking the authorization checkbox on the quote form before submitting. Without that consent, we cannot match you to a partner — your only option would be to call us directly at (202) 629-0258.

Partners receive: your name, contact info, pickup and drop-off, event date/time, passengers, vehicle type, and any itinerary notes you provided. They use this information solely to prepare and deliver a quote for your trip. Partners are contractually prohibited from using your information for any other purpose, including marketing unrelated services to you.

4.2 Exclusive routing when you pick a specific vehicle listing

If you visit a dedicated vehicle page on our site and submit your quote from that page, your trip request goes exclusively to the operator associated with that listing. It is not shared with other partners and not added to any broker feed.

4.3 With transportation broker partners

Where you have consented to share your information with our partner network, we may also forward your trip request to one or more authorized transportation broker partners. You can decline partner-share by leaving the partner-share consent checkbox unticked on the quote form.

4.4 With our service providers

• Payment processor — credit card processing, tokenization
• Cloudflare — content delivery network, bot protection
• SMS and call infrastructure — transactional communications only
• Mapping / geocoding providers — address validation, distance/duration calculation
• Email infrastructure — outbound transactional email
• Hosting provider — server hosting
• Google Analytics 4 and Google Search Console — anonymized site usage and SEO performance

4.5 For legal reasons

We may disclose information when required by law, valid legal process (subpoena, court order), or to protect the rights, property, or safety of District Charters, our customers, partners, or the public.

4.6 In a business transfer

If District Charters is acquired or merged with another company, your information may be transferred as part of that transaction. We will notify you and post a notice here before any change in ownership materially affects how your data is handled.

4.7 What we do NOT do

• We do not sell your personal information to advertisers, data brokers, or social platforms
• We do not share your contact info for marketing of unrelated products
• We do not call or text you for marketing without your explicit prior consent

5. Your Choices

• Partner-share consent — controlled by the checkbox on the quote form; leave it unticked to keep your request with District Charters only
• Transactional vs marketing — transactional messages about your quote or booking may still be sent; marketing requires separate consent

• Cookies — most browsers let you block or delete cookies; some site features may not work without them

6. Data Retention

We retain quote and booking records as long as needed to fulfill the trip, meet legal and accounting obligations, and resolve disputes. Analytics data is kept in aggregate or anonymized form where practical.

7. Security

We use industry-standard safeguards (HTTPS/TLS, access controls, tokenized payments). No method of transmission or storage is 100% secure; please use strong unique passwords where accounts apply and contact us promptly if you suspect unauthorized use.

8. Cookies and Analytics

We use cookies and similar technologies for essential site function, preference memory, and anonymized analytics (including Google Analytics 4). You can control cookies through your browser settings. We do not use your trip details to build advertising profiles on third-party platforms.

9. Children's Privacy

Our services are directed to adults arranging group transportation. We do not knowingly collect personal information from children under 13. If you believe a child provided information, contact us and we will delete it.

10. Changes to this Policy

We may update this Privacy Policy from time to time. The "Effective" date at the top will change when we do. Continued use of the site after an update constitutes acceptance of the revised policy.
