About these Terms
Welcome to District Charters. These Service Terms and Agreement ("Agreement") govern your use of our transportation reservation services. By making a reservation with District Charters, you agree to comply with and be bound by the following terms. Please read these terms carefully before booking. If you do not agree with any part of this Agreement, please do not use our services.
Our goal is to provide safe, reliable, and discreet charter transportation for federal, diplomatic, corporate, and private groups across the DC metro corridor. This Agreement outlines your responsibilities and our commitments.
1. Reservations and Deposit
To secure your reservation with District Charters, a deposit may be required at the time of booking. This deposit acts as a guarantee that your requested vehicle and service date are reserved exclusively for you and are no longer available to other customers.
- Deposit Amount and Payment Methods: The required deposit amount varies depending on the type of service, duration, and vehicle selected. We accept various payment methods, including credit/debit cards, bank transfers, and other secure payment options. Specific details will be provided during the booking process.
- Reservation Confirmation: Once your deposit is received and processed, you will receive a confirmation email or message outlining your booking details, including date, time, vehicle type, and any special requests.
- Full Payment: Unless otherwise agreed, full payment for the service is due prior to or at the time of service. Failure to complete payment may result in cancellation of your reservation.
- Availability: All reservations are subject to vehicle and driver availability. We recommend booking well in advance to secure your preferred dates and times.
- Changes to Reservation: Any changes to your reservation, including date, time, or vehicle type, must be communicated as soon as possible. Changes are subject to availability and may incur additional fees.
2. Cancellations and Refund Policy
We understand that plans can change. Our cancellation and refund policies are designed to be fair while protecting our business and resources.
- Cancellation Timeframes: Cancellation requests must be made within the timeframe specified at the time of booking to be eligible for a refund. This timeframe will vary depending on the service type but is typically at least 48 hours prior to the scheduled service.
- Non-Refundable Deposits: Deposits may be non-refundable if cancellations occur after the allowed cancellation period. This policy helps cover administrative costs and lost opportunities to rebook the vehicle.
- Refund Processing: If you qualify for a refund, it will be processed using the original payment method within a reasonable timeframe, usually within 7–14 business days. Processing times may vary depending on your bank or payment provider.
- How to Cancel: To cancel your reservation, please contact our team via phone or email as soon as possible. Provide your booking reference number and details to expedite the process.
- No-Shows: Failure to show up for your scheduled service without prior cancellation may result in forfeiture of your deposit and full payment.
- Exceptional Circumstances: In cases of emergencies or unforeseen events, please contact us directly. We may consider exceptions on a case-by-case basis.
3. Rates and Payment
All rates provided by District Charters are quoted in U.S. dollars and are subject to change without prior notice. The rates you receive when booking include the base fare and any standard service fees associated with your charter. However, please note that certain additional costs such as taxes, tolls, gratuities, parking fees, and other incidental expenses may not be included in the base rate and will be billed separately.
- Payment Methods: We accept a variety of secure payment options including major credit cards, debit cards, and other approved payment methods. Payment details will be provided at the time of booking.
- Full Payment Requirement: Unless otherwise specified in your agreement, full payment for the charter service is required before or at the time the service is rendered. Failure to complete payment may result in cancellation or refusal of service.
- Rate Changes: Rates may vary based on factors such as vehicle type, service duration, and special requests. We reserve the right to modify rates due to changes in fuel prices, regulatory fees, or other operational costs.
- Quotes and Estimates: Any quotes provided are estimates based on the information available at the time of booking. Final charges may vary depending on actual service usage and additional fees incurred.
4. Overtime and Additional Charges
If your charter service extends beyond the agreed-upon time or mileage, additional charges will apply to cover the extra usage.
- Overtime Fees: Overtime will be billed at the hourly rate specified in your booking agreement. This rate applies to any time exceeding the original reservation period, including waiting time.
- Additional Expenses: Other charges may include tolls, parking fees, bridge fees, and any other expenses incurred during the service. These will be added to your final invoice.
- Communication of Charges: We commit to transparent billing and will inform you of any additional charges as soon as they are incurred or anticipated.
- Payment of Additional Charges: Any overtime or additional fees must be paid promptly, either at the conclusion of the service or as otherwise agreed.

- Direct Damages: Our total liability for any direct damages arising from the use of our services is limited to the amount you have paid for the specific service in question.
- Force Majeure: We disclaim responsibility for any delays, cancellations, or failure to perform caused by events beyond our reasonable control, including but not limited to severe weather conditions, traffic congestion, mechanical failures, natural disasters, strikes, or government actions.
- No Guarantee of Service: While we make every effort to honor your reservations, we cannot guarantee uninterrupted or error-free service at all times.
7. Passenger Conduct
Passengers must follow driver instructions, applicable laws, and venue or facility rules at pickup and drop-off locations. Damage to vehicles, excessive cleaning, or unlawful conduct may result in additional charges and refusal of future service.
8. Governing Law
This Agreement is governed by the laws of the District of Columbia and the Commonwealth of Virginia, as applicable to the booking, without regard to conflict-of-law principles.
