Delegation arrivals have more moving parts than a standard airport run: international arrival processing, luggage that may need its own vehicle, a principal who should not wait at the curb, and a first appointment that sometimes starts within hours of landing. We plan the transfer around all of that.
The three airports
Washington Dulles International (IAD)
Most long-haul international delegations land at Dulles in Loudoun County. Arrival processing time varies with flight volume, so we build the transfer around the scheduled arrival plus a buffer you agree to, and route to DC hotels via the Dulles Toll Road and I-66 or alternatives depending on the time of day.
Ronald Reagan Washington National (DCA)
DCA is closest to downtown and handles mostly domestic and shuttle flights, which makes it common for delegations connecting through another U.S. city. The short drive to downtown can still be slowed by bridge and parkway traffic at peak hours.
Baltimore/Washington International (BWI)
BWI sits between Baltimore and DC and is a frequent choice for groups with Maryland programs or flights that are not available at IAD. The transfer to DC typically runs via the Baltimore-Washington Parkway or I-95, depending on traffic.
How we plan an arrival
- Flight details and manifest. Flight numbers, passenger names or counts, and the expected luggage volume.
- Meeting point. We agree in advance where the group meets the driver, and who on your side confirms that the group has cleared arrival processing.
- Luggage plan. For large delegations, luggage can travel separately so passengers are not waiting on cargo loading.
- Hotel arrival. We share the expected arrival time with your hotel contact so check-in and the curb are ready.
Departures
Departures are planned in reverse: hotel pickup times are set from the flight time, airport check-in requirements and expected traffic, with luggage loaded first. For multi-day programs, we schedule the departure run with the rest of the program.
Frequently asked questions
Which airport is best for a delegation?
That depends on where the flights come from and the program. Long-haul international flights usually arrive at Dulles; DCA is closest to downtown; BWI suits Maryland programs. We will plan transfers from whichever airport your travel office books.
What if the flight is delayed?
Share flight numbers with the request. Tell us who on your team will confirm when the group has landed and cleared arrival processing, and the pickup timing will follow the actual arrival.
Can luggage travel in a separate vehicle?
Yes, for larger delegations we can plan a separate luggage vehicle. Include the expected luggage volume in your request.
