A delegation visit is rarely one ride. It is an arrival at the airport, a hotel check-in, a sequence of official meetings that run long or move up, a reception, and a departure that cannot slip. District Charters plans the ground side of that program with your protocol office or event lead, so vehicle order, staging and timing follow your run-of-show.
What protocol-aware service means in practice
- Seating and sequencing set by you. We follow the order of precedence your protocol team provides: which vehicle carries the principal, who rides with whom, and the arrival order at each stop.
- One point of contact. Your lead coordinates with one dispatcher for the program, and changes flow through a single channel.
- Manifest-driven planning. Passenger lists, luggage counts and stop-by-stop timing are confirmed before the day so drivers are not improvising at the curb.
- Discretion. Tell us your confidentiality requirements, such as what may be shared, with whom and when, and we will plan around them.
- Staging, not idling. Around embassies, hotels and federal buildings, vehicles stage at agreed points and arrive on call to keep curbs clear.

Information to send with your request
Dates and the draft schedule, the number of principals and staff, flight details for arrivals, hotel and meeting addresses, any security-team coordination we should expect, and a protocol contact. You can use the quote form for a single movement or the proposal request for a full program.
Frequently asked questions
Can you follow our protocol office's order of precedence?
Yes. Send the seating and vehicle order with the schedule, and we will build the vehicle sequence around it. Changes on the day go through the single dispatcher assigned to your program.
Can you coordinate with a security detail?
Tell us in the request whether a security team will be involved and who their contact is. We will plan staging, timing and vehicle order with that contact in mind.
How far ahead should we book a delegation program?
As soon as dates are firm. During busy weeks in Washington, such as multilateral meetings, major summits or inauguration season, vehicle demand rises across the region, so earlier requests give you more options.
